Importing a Trade Show Exhibitor list from an Excel file

If you have the list of trade show exhibitors you can import them into a Trade Show on Ruvixx.

  1. Open the Trade Show you want to import exhibitors to 
    1. If you haven't already, setup a Trade Show on Ruvixx
      1. Navigate to Trade Shows under Data Sources in the main menu
      2. Click the Create button
      3. Enter a Name, Start Date, and any additional information you may have
      4. Click Save button
  2. A container to house and track all your work at the Trade Show has not been created, however to add exhibitors you will need to click the Entities Tab
  3. Click the Import button
  4. Your spreadsheet of exhibitors will need to be in a format Ruvixx can read. Click the Download Import Template to see the format. 
  5. Once your spreadsheet of exhibitors in in the correct format you can select File in the form and designate if the Trade Show is Approved or not
  6. Click the Upload button
  7. Ruvixx will then start processing the list to see if any of the exhibitors match Entities already identified in Ruvixx
    1. Exact Matches - Match an Entity already identified in Ruvixx
    2. More Likely - 75% or higher chance that Entity matches an Entity already identified in Ruvixx (for instance has an "Inc." vs not)
    3. Less Likely - Less than 75% chance that Entity matches an Entity already identified in Ruvixx
  8. Ideally you would review each exhibitor that falls under More Likely and Less Likely:  
    1. Match with an Entity or add as a new one
      1. Match an existing Entity - Select an Entity from the pre-populated Match Entity list or use the empty list item to find your own match entity already identified in Ruvixx
      2. Add as a new Entity - If you find that the Entity doesn't match any existing entities in Ruvixx, you can add the Entity as a new one by clicking Add as New. However because this action will process the entry (moving it to Accepted) if you want to select an Entity Classification (picking from the drop-down menu under Classification) and/or Target it (adding an IP in the Target IP at Tradeshow) you will need to make these selections prior to clicking Add as New.
      3. Skip - Ideally all exhibitors would be added to the Trade Show in Ruvixx so that accurate charts and reports can be made. For example "Sony has been at 10 Trade Shows and Targeted 2 times". To reduce the noise we suggest using the Targeted filter when viewing exhibitors and/or employing the Entity Classification. However we do allow you to Skip and not include an exhibitor if you feel it is completely outside of your purview by clicking the Skip button.
    2.  To Target or not
      1.  If you want to designate an exhibitor as a Target you can add the IP you are targeting them for in the Target IP at Tradeshow.
  9. Once you've reviewed the exhibitors under More Likely and Less Likely click Accepted to review one last time your evaluations. If you're happy click the Confirm button.
  10. Any newly matched exhibitors will be added to the Trade Show and any newly added exhibitors will be added to the database of Entities in Ruvixx as well as added to the Trade Show. If you had marked them as targeted that will also reflect in the Trade Show.

Note: You do not need to evaluate every exhibitor at a Trade Show in a single import. If the list is long and you want break it up, you can do multiple imports using the same spreadsheet. Say the spreadsheet includes 800 exhibitors and upon first import 200 are exact matches, that leaves you with 600 exhibitors to match. If in the initial import you evaluate 100 exhibitors and click Confirm on the Accepted page, those 100 exhibitors will be matched. You can then initiate the import process again and will see you now have 300 exact matches and 500 to review. Unfortunately this math does not work if you use Skip on any of the exhibitors in the review process.
