Setting up a Campaign

A Campaign starts with the list of Entities you would like to contact to collect data or convert (whether that is to signing them up as a Licensee, collecting compliance revenue, etc.). The most common way to start a new Campaign is to Import this list of Entities.

  1. Click Campaigns in the main navigation, Data Sources > Activities > Campaigns
  2. Click the Create button
  3. In this screen you are defining the attributes of the Campaign such as Name (which must be unique) and Start Date
  4. Click Save 
  5. The Campaign is created however without Entities there are no metrics on the Analysis tab and it is little more than a container 
  6. Click Entities tab and then the Import button
  7. Your spreadsheet of Entities will need to be in a format Ruvixx can read. Click the Download Import Template to see the format.
  8. Once your Import spreadsheet is in the correct format you can select File in the form and click the Upload button
  9. Ruvixx will then start processing the list to see if any of the Entities match one already identified in Ruvixx (as Ruvixx platform centralizes your data an Entity from an earlier Campaign, Royalty Report, or other could already have been established). If the list of Entities you are importing do not match exactly to an existing Entity they will be pushed to what we refer to as Fuzzy Match.
    1. Exact Matches - Match an Entity already identified in Ruvixx
    2. More Likely - 75% or higher chance that Entity matches an Entity already identified in Ruvixx (for instance has an "Inc." vs not)
    3. Less Likely - Less than 75% chance that Entity matches an Entity already identified in Ruvixx
  10. If your Import brought up Fuzzy Match, ideally you would review each Entity that falls under More Likely and Less Likely:  
    1. Match an existing Entity - Select an Entity from the pre-populated Match Entity list or use the empty list item to find your own match entity already identified in Ruvixx
    2. Add as a new Entity - If you find that the Entity doesn't match any existing Entities in Ruvixx, you can add the Entity as a new one by clicking Add as New.
      1. Note: Prior to clicking Add as New you have the option of selecting an Entity Classification and/or Target IP at the Campaign
    3. Skip - If it is difficult to determine if an entity should be Matched or Added as New, you can also Skip it as part of the Import. You can then Import the same spreadsheet later and anything you matched earlier will go in automatically leaving you with just the ones you Skipped.
    4. Once you've reviewed the Entities under More Likely and Less Likely click Review to look over your matches. If you're happy click the Import button.
  11. After a few moments your Entity list should be validated by the Ruvixx back-end and populate your Entity List in the Campaign (this may take a few minutes if the list is long)
  12. You can then select an Entity or all of them and send them a Notfication

Note: You can also add an Entity to a Campaign via the Create button on the Entity List.
