Once a Campaign is set up and populated with Entities you can then select all or a group of Entities to send notifications. Ruvixx offers many ways to manage which Entities and which notifications to send them.
- Navigate to the Campaign you wish to send notifications from.
- Click on the Entities tab.
- If no Filters have been selected this Entities table will be all the Entities in the Campaign. Using the Table Settings (the gear icon), you can adjust the columns that are displayed in the table. For instance, you can display a funnel by selecting to see Last Delivered, Last Opened, and Responses. You can also integrate additional columns that might aid you in knowing which to send a reminder notice.
- Click Filter icon to narrow the Entities in the list. For example, you can use the Country filter to only see Entities from that country and send them an notice in an appropriate language. Another example is to filter for "No Responses" under Notice Status and narrow the list to only Entities which have not responded to the questionnaire. You can also combine filters, for example "No Responses" and Last Delivered Template to know which notice reminder to send them.
- Once you've narrowed the list you can check the selection box by each Entity or check the top selection box to select all.
After you have selected your target Entity or Entities, you are now ready to send notification(s).
- Under Actions, select Compose Notice.
- On the Compose Notice page, use the following guidelines to understand the fields required to successfully compose a notification:
- "Recipients" - This field should automatically populate with the name and email of the individual from the Entity.
- "From" - This field should automatically populate the default sender.
- "Send through" - You can select to send the notice through email, fax, or both.
- "Include PDF as email attachment" - This switch will include a PDF copy of the email template as an email attachment to the Entity.
- "Include questionnaire to be completed" - This switch activates the link in the template to click through to the questionnaire. You must turn this on when sending out a questionnaire or else the link will not work.
- "Select template" - Select the notice template to be sent out to the Entity.
- "Subject" - This field will be populated based on the notice template selected.
- "Plain text" - This field will be populated based on the notice template selected.
- "HTML text" - This field will be populated based on the notice template selected.
- Form submission options:
- "Cancel" - This will cancel the notice and take you back to the list of Entities under the Campaign.
- "Preview" - This will download as a preview the PDF that will be sent out in the notice.
- "Save As New Template" - This will save any changes to the template as the default template. The need for this feature exists only for a few rare use cases, it is best to edit the Templates via System Settings.
- "Send" - Click to send the notification to the Entity.
- Upon selecting Send, the Entity in the Campaign will receive the notification.
